Refund Policy

1. Overview

Pro Tech AI provides digital subscription products and services. This policy sets out the circumstances in which refunds are available, how they are calculated, and how to request one. Nothing in this policy limits the rights you may have under the Consumer Protection Act, 2008 (CPA) of South Africa.

2. Subscription fees

• Subscription fees are billed in advance for each billing cycle (for example monthly or annually).
• Because our products are digital and access is provided immediately, subscription fees for the current billing cycle are generally non-refundable once the cycle has started and the service has been made available.
• When you cancel, you retain access until the end of your current paid billing cycle, and you will not be charged for further cycles. See our Cancellation Policy.
• We do not provide partial or pro-rated refunds for unused time within a billing cycle, except where required by law or expressly stated in this policy.

3. When you may be entitled to a refund

We will consider a refund in the following circumstances:

• Service not delivered: if we are unable to provide access to a subscription you paid for within the timeframe set out in our delivery timeline, you are entitled to a full refund.
• Material fault: if the service has a material defect that we are unable to resolve within a reasonable period after you report it, you may request a refund for the affected billing cycle.
• Duplicate or incorrect charge: if you were charged in error, charged more than once for the same subscription, or charged after a valid cancellation, we will refund the incorrect amount in full.
• First-time subscription cooling-off: for a first-time subscription, if you request a refund within 7 days of the initial purchase and have not made substantial use of the service, we will, at our discretion, provide a full or partial refund.

4. When refunds are not available

• Billing cycles that have already started and where the service has been delivered and used, except as set out above.
• Requests made solely because a subscription was not cancelled before automatic renewal (please cancel before your renewal date to avoid being charged).
• Fees for custom configuration, integration, onboarding, or professional services that have already been performed.
• Misuse of the service or breach of our Terms of Service.

5. How to request a refund

To request a refund, email info@pro-tech-ai.co.za with the subject line "Refund Request" and include:

• the name and email address associated with your subscription;
• the date of the payment and the plan purchased;
• the payment reference (if available); and
• the reason for your refund request.

We will acknowledge your request within 2 business days and let you know the outcome after reviewing it.

6. How refunds are processed

• Approved refunds are made to the original payment method used for the purchase, via our payment provider, Paystack.
• Refunds are typically processed within 5 to 10 business days of approval. The time for funds to reflect in your account may vary depending on your bank or card issuer.
• Refunds are issued in the original currency of the transaction (South African Rand, ZAR).

We may update this Refund Policy from time to time. The latest version will always be published on this page with the updated effective date.
